Client Folder Structure 

The primary objective behind organizing our Google Drive folders is to guarantee the effortless discovery of files while maintaining a consistent filing system, independent of individual clients.

This standardized folder structure is present in every existing client folder, emphasizing uniformity across our digital workspace. It's essential to note that the main client directory exclusively permits these 4 folders, establishing a streamlined and organized foundation for our file management system.

1. Assets

Description:

The "Assets" folder is the primary hub for all client and internal assets. This includes branding guidelines, fonts, logos, video references and internally purchased assets.

This ensures that our team can easily locate and utilize these assets for presentations, marketing materials, and other client-facing collateral.

CX/PM Responsibilities:

  • PM/CX: Responsible for saving any and all "client provided assets" to their respective "asset folder" within drive. This includes files such as branding guidelines, fonts, logos, video references or even product images.
  • File types include: PDFs, JPGS, PNGS, MP4s, GIFs, DOCS, PPTs, InDesign Files(INDD), Illustrator Files (AI) and more.

Creative Responsibilities:

  • CREATIVE: Responsible for saving any and all purchased images or videos from our stock libraries such as istock and adobe stock if project type calls for stock imagery. 
  • File types include: JPGs or MOV, MP4

2. New Business

Description:

The "New Business" folder serves as a central repository for all existing new client business . This includes research documents, and presentations.

CX/PM Responsibilities:

  • PM/CX: Responsible for saving any and all documents to the respective "New Business" folder within drive. This includes files such as presentation decks, and research documents. 
  • File types include: PDFs, DOCS, PPTs, and more.

3. Project Folders 

Description:

"Project Folders" is a home for each project relevant to the client. Within each project, you'll find briefing documents, client-shareable files, meeting notes, presentation decks, and a variety of resources.


You will also find the "Creative" folder, including 7 sub-folders:

  1. Display Ads
  2. Email Campaigns
  3. Landing Pages
  4. Print
  5. Social Campaigns
  6. Video
  7. Website

CX/PM Responsibilities:

  • Is responsible for creating and setting up project folders from the "Google Drive Template"
  • Removing any unnecessary folders within the "creative folder" based on the signed contract. (Shown in Step 2)

Step 1: PM/CX copies the "Project Folder Template" below.

Step 2: Within the Creative Folder, a PM/CX removes all unnecessary sub-folders.

4. Reports

Description:

The "Reports" folder is the primary hub for all reporting documents, such as Google Analytic Reports, Lucky Orange Reports, SEM Rush, etc.

CX/PM Responsibilities:

  • PM/CX: Responsible for saving any and all documents to the respective "Reports" folder within drive. This includes files such as presentation decks, excel documents, word docs, etc. 
  • File types include: PDFs, DOCS, PPTs, and more.

Sample Structure:

Client Name > Reports > 

Rules to Live By

  • ALL client files must be saved in their appropriate folders.
  • Do NOT create a new folders unless you are a PM/CX.
  • Do NOT save client work on your computer.
  • All folders MUST be in this structure.
  • Empty folders: Should be avoided. Example: No logos in the logo folder should mean that the client doesn't have them.
  • NOTE: Inappropriately created folders will be flagged and questioned by management.
